What is happening?
Shadow AI is employee use of AI services outside an organization's approved technology and governance process. It can be as simple as using a personal account to summarize a customer document or draft a proposal.
Why does it matter?
The business may not know which providers receive its information, what retention settings apply, whether accounts can be recovered, or whether a departing employee retains access to business prompts and files.
What should your business do?
Ask before assuming, then give employees a workable approved path.
- Survey current AI use without turning discovery into a blame exercise.
- Separate low-risk experimentation from workflows involving sensitive information.
- Publish a short acceptable-use standard with real examples.
- Provide approved accounts, training, and an escalation path for new use cases.
